How One Workshop Host Booked a Private Event a Year in Advance (And How You Can Too)

Consistency, strategy, and great customer experiences = bookings that feel like magic ✨

Recently, one of my students did something pretty amazing — she secured a private workshop booking a whole year in advance. And honestly? I’m not surprised at all.

She’s been putting in the work — showing up month after month, refining her craft, building a brand that people want to be a part of. She's proof that you don’t need a massive following, just a solid strategy and a standout experience.

Here’s what’s been working for her (and for me too) — and how you can start applying it to your own workshop business today.

What She Did Right

đź’« She stayed consistent.
She didn’t just run one workshop and disappear. She hosted again and again, which meant her audience trusted her, venues loved working with her, and word-of-mouth took off.

đź’« She partnered with dreamy venues.
Instead of settling for dull spaces, she made her events experiences by collaborating with beautiful, buzz-worthy venues. That made people even more excited to book.

đź’« She ran simple ads.
No massive budget or marketing team needed. Just targeted, clear ads that spoke directly to her ideal audience — and brought them in.

đź’« She built a cohesive brand.
Her Instagram, event pages, and emails all felt aligned. That kind of visual trust matters — people could instantly feel the vibe of her events.

đź’« She overdelivered, every time.
Her materials were thoughtfully chosen. Her setup felt intentional. Her customer reviews? Glowing. That level of care gets noticed.

My Own Experience: Booking in Advance = Cashflow Gold

I’ve experienced this too. Some of my private events have been booked months (sometimes a year!) in advance, and when you lock in a 50% deposit — it does wonders for your cashflow.

That kind of financial breathing room gives you confidence. It allows you to plan better, invest in supplies or staff ahead of time, and avoid the “feast or famine” cycle so many creative businesses fall into.

Want to Book Out Like This Too? Here Are Some Tips:
  1. Build trust through repetition.
People book with confidence when they’ve seen you show up multiple times. Even if your audience is small — consistency builds credibility.

  2. Curate your venue and visuals.
Create a visual experience people want to be part of. Your location, your materials, your photos — they all tell a story.

  3. Make it easy to book you.
Have a clear private event page. Outline the process, pricing, what’s included, and make your contact form simple.

  4. Don’t wait for bookings to come to you — go get them.
Reach out to venues, businesses, and past clients. Let them know you’re open for private bookings now and suggest future dates (yes, even for next year).

  5. Take a deposit.
This not only secures the date but also brings in cash now — which helps your business stay healthy between events.
